Cancellation Policy

Our cancellation and refund policy for RobotechSummit 2025 registration, exhibition, and sponsorship.

Conference Registration Cancellation

Refund Schedule

90+ days before conference

Full refund minus $50 processing fee

60-89 days before conference

75% refund of registration fee

30-59 days before conference

50% refund of registration fee

Less than 30 days before conference

No refund available

Important Notes

  • All cancellation requests must be submitted in writing via email
  • Refunds will be processed within 30 business days of approval
  • Refunds will be issued to the original payment method
  • No-shows are not eligible for refunds
  • Conference dates: November 14-15, 2025

Registration Transfers

Transfer Policy

  • Registration transfers to another person are permitted up to 30 days before the conference
  • Transfer requests must be submitted in writing with complete details of the new attendee
  • A $100 administrative fee applies to all registration transfers
  • The new attendee must meet all conference eligibility requirements
  • No transfers are permitted within 30 days of the conference

Transfer Process

  1. Submit transfer request via email with original and new attendee information
  2. Pay the $100 administrative fee
  3. Receive confirmation of transfer approval
  4. New attendee receives updated registration confirmation

Exhibition and Sponsorship Cancellation

Exhibition Booth Cancellation

120+ days before conference

Full refund minus $500 processing fee

90-119 days before conference

75% refund of booth fee

60-89 days before conference

50% refund of booth fee

Less than 60 days before conference

No refund available

Sponsorship Cancellation

150+ days before conference

75% refund of sponsorship fee

120-149 days before conference

50% refund of sponsorship fee

90-119 days before conference

25% refund of sponsorship fee

Less than 90 days before conference

No refund available

Force Majeure and Event Cancellation

Event Cancellation by Organizers

If RobotechSummit 2025 is cancelled by the organizers due to circumstances beyond our control:

  • Full refund of registration, exhibition, and sponsorship fees
  • Refunds processed within 60 business days
  • No liability for travel, accommodation, or other expenses
  • Option to transfer registration to future conference (if available)

Event Postponement

If the conference is postponed:

  • All registrations automatically transfer to new dates
  • Full refund available if unable to attend new dates
  • 30-day window to request refund after new dates announced
  • No additional fees for date changes

Virtual Conference Option

If the conference transitions to virtual format due to unforeseen circumstances:

  • Partial refund available (50% of registration fee)
  • Full access to virtual conference platform and content
  • Digital networking opportunities and resources
  • Option for full refund if virtual format is unacceptable

How to Cancel or Request Refund

Cancellation Process

  1. Send cancellation request via email to cancellations@robotechsummit.com
  2. Include your full name, registration number, and reason for cancellation
  3. Receive confirmation email within 2 business days
  4. Refund processed according to the applicable schedule above

Required Information

Please include the following in your cancellation request:

  • Full name as registered
  • Registration confirmation number
  • Email address used for registration
  • Type of registration (attendee, exhibitor, sponsor)
  • Reason for cancellation
  • Preferred refund method (if different from original payment)
